SharePoint Online: Filtered display of events / occurrences

Introduction

In SharePoint Online, a WebPart is available in the Modern UI that makes it possible to publish upcoming events on the intranet. Editors can use this tool to save and display planned events in the system.

The concept

The aim is to assign planned events to different types by adding a specific characteristic as a metadata. This characteristic later facilitates the filtered display of events that are only shown to the visitor in the detailed views.

This procedure is particularly helpful if many events are planned on the intranet in order to avoid an oversupply for users.

Users can apply the filtering of the WebPart to different page areas within the website.

Technical realisation

  1. Development of different categories for the event types.
  2. Add these event types to the list configuration to save future events.
  3. Editorial creation of planned events with the selection of a specific event type.
  4. Installation and configuration of the WebPart to display the events.

Step 2: Adding event types to the list configuration

As soon as the „Events“ WebPart is used in a SharePoint Online site for the first time, a calendar list is automatically created under „Events“. This list saves the events created by editors.

Although there is no direct integration with Outlook or Exchange Online from Microsoft, this list can be supplemented automatically with PowerAutomate.

When creating an event, users can select one of the previously created event types in the „Category“ drop-down field:

Step 4: Setting up the WebPart for displaying events

When configuring the „Events“ WebPart, the desired filter value for the event category must be entered in the „Category“ field. Please note that the correct spelling must include spaces across several words.
