Out-of-office messages - but the right way

Are you familiar with the problem with the classic out-of-office messages (for example in Exchange Online)?

In principle, you can only do one thing: send a fixed text, either to internal or external senders. This quickly leads to disadvantages:
- Your text never really fits the context.
- You cannot differentiate between senders - so newsletter bots also get a reply.
- Language or tonality (you/you, German/English) remain inflexible.
- You have to activate it manually - and that's easy to forget.

In short: the standard out-of-office note is a makeshift solution, but not good communication.

How could it be better?
