Do you know the problem with classic out-of-office messages (for example in Exchange Online)?
They can basically only do one thing: send a rigid text, optionally to internal or external senders. This quickly leads to disadvantages: • Your text never really fits the context. • You can’t distinguish between senders – so even newsletter bots get a reply. • Language or tone (formal/informal, German/English) remain inflexible. • You have to activate it manually – and that’s exactly what you easily forget.
In short: The standard out-of-office notice is a makeshift solution, but not good communication.
How could it be better?
With AI support. I tested this during my summer vacation – it works excellently.
An intelligent out-of-office message can do much more: • Classification of incoming messages: Newsletters quietly land in the archive, important senders get an appropriate response. • Automatically adjust language & salutation: Depending on which language or tone someone usually uses to address you. • Use context: The AI searches through your previous emails with the sender and can formulate a more appropriate message. • Activate automatically: Instead of manually turning it on and off, AI recognizes your calendar and knows when and how long you’re away.
Conclusion
Instead of generic “I’m not here” messages, you leave a professional, individual impression with an AI-supported solution – while also saving yourself trouble with spam, duplications, or forgetting to activate it.
I’m thrilled and already have the next idea…
